Working & Teaching from Home (Remote Access Tools & Documentation)

IMPORTANT NOTE: employees will need to be logged into the College Website in order to be able to access this restricted page. Logging into the MyCampus Portal and then clicking the College Website link in the left menu will accomplish this.

Intro

At times, it is convenient (and starting in mid March, 2020, during the COVID-19 pandemic, it has even become very necessary) for many of our employees to be equipped and able to work remotely. This page will identify the tools available to help you with that endeavor.


Remote Access to J & P Drives (my files from home)

To access your files on the College network remotely, there are TWO ways of doing this:

  1. NEW! My Work Drive 

For the majority of employees looking to connect with their files on our network, it is recommended to use the NEW! My Work Drive solution that was rolled out on March 16, 2020. This solution provides access to your J, or P drive using a client that needs to be installed on your personal computer.  Once installed, the software allows you to create a drive that works just like as if you were here at the College.

Please note that Duo Multi-Factor Authentication (MFA) is enabled on My Work Drive.  Every time you access My Work Drive you will be required to use Duo MFA. It will require you to complete an enrollment process if you haven’t done so already.

  • Enroll in Duo MFA
  • Access your network files

Be sure to carefully read the documentation as the setup for Staff and Faculty are DIFFERENT.

  1. Global Protect VPN (Virtual Private Network) Access

NOTE: All J: drive work can be done through the above MyWorkDrive.

VPN access is the second method for connecting remotely to files, plus other IT systems.  The following VPN documentation is intended ONLY for those employees (i.e. a few Managers + IT Technicians) that are required to connect to a College IT system, OTHER than the J: drive, such as for connecting to Banner SSB/Admin panel, Millennium, Cognos, Software Telephones and Scheduling Software.

Opening Shared E-mail Accounts in Webmail

For users working from home who are responsible for working with general e-mail boxes (i.e. [email protected] or [email protected]), when opening your webmail, you normally can only see your mailbox.  Below is a link to instructions regarding how to open additional mailboxes that you have access to and need to monitor and interact with.

Faculty Teaching Tools for Online Learning

In order to ensure faculty have the resources to move to online delivery for their courses, instruction will be provided in Blackboard and in the setup and utilization of Blackboard Collaborate Ultra. Training materials will be housed within the TLC Faculty Training course in Blackboard and will be delivered online in Blackboard Collaborate Ultra.

Sessions are being offered in the morning, afternoon and evening to accommodate a variety of schedules, over the next few days.

Tools for Conducting Online Meetings

There are a number of free tools for conducting online meetings, including 

Microsoft Teams – a free meeting tool for connecting with colleagues in departments, schools, programs, committees and work groups.  (available for any device)
It is 
currently being used successfully for daily meetings in Computer Services.

Download and install the “Microsoft Teams” app on your tablet or mobile device ...  

Start the MS Teams app on your computer/phone, then log in with your College credentials in the following format: [email protected]. You will be redirected to the same login window used by our portal. Once logged in you can create one or more teams and/or access a team to which you have been invited.
